Terms & Conditions.

The terms you agree to when you enrol with Eclipse Education — how we deliver and assess training, what we expect of you, and how we handle your fees, records and personal information.

These are the everyday terms that apply when you train with Eclipse Education. They're a plain-English summary of the parts our students ask about most. Our Candidate Handbook is the full and authoritative document — if anything on this page differs from the handbook, the handbook applies.

1. About these terms

Eclipse Vale Pty Ltd trades as Eclipse Education and is a Registered Training Organisation, RTO #32252, regulated by the Australian Skills Quality Authority (ASQA).

These terms apply to everyone who enrols with us, books a course, or uses our website and student portal. By registering an account or booking a course you accept them.

Our full policies and procedures — covering enrolment, fees, refunds, complaints, privacy, assessment and student support in detail — are set out in the Candidate Handbook and on our Policies & Procedures page. This page is the short version.

Our commitment to you

We're committed to high standards in the delivery of education and training, and to complying with all State and Federal legislative requirements — in particular Workplace Health and Safety, Workplace Relations, Anti-Discrimination and Equal Opportunity.

We have a commitment to providing a quality service and a focus on continuous improvement. We value feedback from our trainers, industry representatives and our students, and you're welcome to give us feedback at any time.

2. Enrolling with us

Proving who you are

You'll need to enrol in your own name, with your own unique email address, and provide photo ID to confirm your identity. No two students can enrol with the same email address. Each student is issued a unique Student ID number.

Your account is for you alone. Your Student ID is not to be used by anyone else, and you must be the person who attends the course and completes the assessments. Sharing your login, or having someone else complete your training or assessment, is treated as fraud — we may cancel your enrolment and will not issue a Statement of Attainment.

Your Unique Student Identifier (USI)

Nationally recognised training in Australia requires a Unique Student Identifier. You'll need to give us a valid USI, or let us create one for you, before we can issue your Statement of Attainment. You can create one free at usi.gov.au.

Age and entry requirements

If you're under 18, a parent or guardian needs to consent to your enrolment. Some courses have their own minimum age or entry requirements — these are listed on the course page, so please check before you book.

What we tell you before you start

We provide accurate, relevant and up-to-date course information before you commence, including:

  • Enrolment and induction procedures;
  • Course content and vocational outcomes;
  • Fees and charges, including our refund policy;
  • Student support available to you;
  • Flexible learning and assessment options;
  • Complaints, appeals and grievance procedures; and
  • Recognition of Prior Learning (RPL) arrangements.

3. Fees, payments and refunds

Course fees are shown in Australian dollars on each course page. We may change our prices at any time, but the price shown to you when you book is the price you pay for that booking.

If a payment fails, is reversed or is charged back, we may suspend access to your course until it's settled.

If we cancel a course

If Eclipse Education cancels a course, you're entitled to a full refund, or to transfer your payment to another course or a future date — your choice.

If you want a refund

Each course has its own payment and refund terms, set out on the course page and in the Candidate Handbook. Please make sure you understand them before you enrol.

Once you've started a unit and confirmed you understand the state or territory requirements that apply to it, we generally don't refund that unit. Those requirements are published on the course page and it's your responsibility to read them before you start.

None of this affects your rights under the Australian Consumer Law, which we can't exclude. If something goes wrong with the service we've provided, talk to us — see section 11.

4. Classroom bookings and changes

For courses with a face-to-face classroom session, you can change or reschedule your booking yourself through your account at any time.

  • More than 24 hours before your class — you can move to another available date or location free of charge.
  • Less than 24 hours before your class — you can still reschedule, but a booking fee applies. The fee is shown at the time you make the change.

If you don't attend and don't reschedule, you'll need to rebook, and a booking fee applies. If something has gone wrong and you can't make your class, contact us as early as you can and we'll help where we reasonably can.

5. State and territory requirements

Some units have different requirements across the states and territories of Australia. These requirements are listed on the relevant course pages throughout this website.

It's a requirement that you read the requirements for your state or territory before starting a unit of study, so that you're fully aware of what applies to you.

New South Wales food handling: if you live in NSW and complete the unit "SITXFSA006 — Participate in safe food handling procedures", your name and Student ID will be passed to the NSW Food Authority. This is done solely so that you can be issued with the NSW Food Authority Food Safety Supervisor Certificate.

6. Training, assessment and your certificate

Our trainers and assessors hold the qualifications and experience required to deliver the training and assessment relevant to the courses we offer. Assessment meets the National Assessment Principles, including Recognition of Prior Learning.

How you're assessed

All our programs are assessed under the principles of competency based training. The aim is to assess your ability to perform the activities in each unit, so assessment is based on demonstrating practical skills. Your assessor will assess your competence in each unit.

A unit of competency includes the skills, knowledge and attitudes required to complete a task in a work environment. You'll need to demonstrate a satisfactory level of understanding and competency in each of them.

All assessment results are recorded, you'll be notified of your result for each assessment, and you can access your assessment records through your account.

Getting your certificate

If you complete your training and demonstrate competence, we'll issue a Qualification (for a full course) or a Statement of Attainment (for a unit or units) within twenty one (21) days of completion. In practice we usually issue digital certificates within one to two business days.

You understand and agree that your Statement of Attainment may be shared with an employer, job service agency, group coordinator, or a member of your school such as your teacher, for employment or educational purposes. Requests must be made in writing, and requesters may be asked to provide additional information to verify their identity and eligibility. We'll make reasonable efforts to comply promptly, but can't be held responsible for delays or issues beyond our control.

7. Credit for training done elsewhere

If you've completed accredited training at another RTO and have a Qualification or Statement of Attainment to show us, we'll recognise the validity of that training. Where it proves you've already achieved units of competency within the course you're doing with us, we'll give you direct credit. An administration fee applies to cover checking and recording your previous results — we'll tell you the amount before you commit.

Recognition of Prior Learning (RPL) is the formal acknowledgment of skills, knowledge and attitudes gained through formal and informal training, study, work and life experience. RPL can be granted where previous formal study demonstrates the same competencies, or where you have evidence that competencies were developed outside a classroom — at work, or through observation, reading, or volunteering with sporting, church or community organisations.

8. Your privacy and personal information

We collect information from you when you register and as you progress through your units. We use it solely for the purposes of training and providing training materials, as required of a Registered Training Organisation.

Only staff who need to access your personal information for administration or training are permitted to do so. Government auditors may need to check our administration systems, and in doing so may gain access to information you've provided. If you'd like a copy of the information we hold about you, or want it provided to someone else, submit a written request to one of our staff.

Disclosure to NCVER

Under the Data Provision Requirements 2012, we're required to collect personal information about you and disclose it to the National Centre for Vocational Education Research Ltd (NCVER).

Your personal information and training activity data may be used or disclosed by us for statistical, regulatory and research purposes, including to:

  • your school, if you're a secondary student undertaking VET, including a school-based apprenticeship or traineeship;
  • your employer, if your training is paid for by your employer;
  • Commonwealth and State or Territory government departments and authorised agencies;
  • NCVER;
  • organisations conducting student surveys; and
  • researchers.

Information disclosed to NCVER may be used to issue your VET Statement of Attainment or Qualification and populate Authenticated VET Transcripts; to facilitate statistics and research relating to education including surveys; to understand how the VET market operates for policy, workforce planning and consumer information; and to administer VET, including program administration, regulation, monitoring and evaluation.

You may receive an NCVER student survey, administered by an NCVER employee, agent or third party contractor. You can opt out at the time you're contacted.

NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the VET Data Policy and all NCVER policies and protocols, including those published at ncver.edu.au.

By accepting these terms you declare that the information you've provided is, to the best of your knowledge, true and correct, and you consent to the collection, use and disclosure of your personal information as described above.

How long we keep your records

We retain a record of the units of competency and qualifications you've achieved for 30 years. We may keep completed assessments until the end of the appeal period, after which they're generally returned to you. Some assessment reports completed by assessors and discussed with you at the time may not be returned unless you ask for them.

Staying in touch

To keep you informed about your course status and progress, we may contact you by phone, email and text message. If you give us a mobile number when you register, you may receive training-related text messages from us.

9. How we use AI

We use artificial intelligence as a tool to help our team give you excellent, timely support. It helps us answer your questions quickly, guide you through enrolment and administration, and keep improving our learning resources — so you'll find good support at every stage of your learner journey.

AI supports our staff, it doesn't replace them. Decisions that require human judgement are made by our qualified trainers and assessors.

What this means for your information:

  • Some of your information — not all of it — may be processed by these tools.
  • Our agreements with our providers ensure your data is not used to train AI models.
  • Your data is encrypted in transit, and we don't sell it or share it with anyone else for their own purposes.
  • Some processing may take place outside Australia.

10. Course materials and website use

Our course materials — slides, videos, workbooks, assessments and anything else we provide — belong to us or our licensors. You're welcome to use them for your own study and to keep them for your own reference.

You may not copy, record, republish, resell or distribute our materials, or use them to deliver training yourself, without our written permission.

When using our website and student portal, please don't attempt to access another person's account, interfere with the site's operation, or use automated tools to extract content from it.

What you'll need

Our courses are delivered online, so you'll need a device with an internet connection. Our website is designed to work in all current browsers, on PC, Mac and Linux, and on smartphones and tablets.

You only need basic computer skills. You will need literacy and numeracy skills and a good understanding of English — all our courses are conducted in English, and being able to read and write in English is a requirement.

11. Complaints, appeals and access

If you have a complaint about anything, including an assessment decision, here's how it works:

  • You can raise any issue with any staff member or training partner you think can help. If it's resolved in that conversation, nothing further is needed.
  • For assessment issues, approach the trainer or assessor who conducted the assessment first.
  • The appeal period for assessment issues is a maximum of one (1) month beyond the final date for submission of assessment, unless another date is specified for that course.
  • If it can't be resolved informally, you'll be advised of the formal Complaints and Grievance Procedure, including the option of submitting a formal complaint by email or letter.
  • You can submit a complaint to a staff member at any time, regardless of any earlier conversations.
  • If a complaint hasn't been resolved within fourteen (14) days, it can be escalated.
  • We'll make sure the resolution, or attempted resolution, is communicated to you and to any staff involved.
  • No charge or fee of any kind applies to any complaint, grievance or assessment appeal.
